Our Process...

Through the years, our experience has helped us build a framework to execute excellent events every time. From Pre-Event to Post-Event, Paragon Events covers all of the bases and makes sure nothing is left to chance.

Step 1 - Developing the Plan

We meet with our client to discuss purpose and goals of the meeting and acceptable pattern. We assist with the budget development and provide Hotel Site Research along with a Site Report including room rate, taxes, hotel ratings, food and beverage prices, brief description of hotel and surrounding area attractions. We then develop a communication plan for print and email. We offer Data Entry services and Web Registration and develop registration materials tailored to your specific meeting complimented by a meeting fact sheet. Add our registration form to your web site with our custom URL connecting your registration or web site to the online registration form. With our travel agency license we also offer airline reservations.

Step 2 - On site...We Facilitate and Execute

Upon arrival at the hotel, attendees receive "Registration Packets" which include the meeting program, name badges, workshop assignments, social activities and any other information you wish to convey. We offer On-Site supervision of all food and beverage, audio visual, meeting specifications, VIP arrangements and program. We provide a fully staffed Registration/Hospitality desk that services all attendees, sponsors, exhibitors and guest speakers, a full service message center, phone, fax, typing and clerical assistance as required.

Step 3 - That's Not All...We're Not Done Yet

Paragon Events' staff gather evaluation forms on site and tallies, organizes comments and provides the overall report to the client. We reconcile all vendor invoices and review and finalize hotel invoices. We submit a final invoice with an itemized spreadsheet. We schedule a post-conference with the client to review the meeting/event and submit recommendations for the following year's event or meeting. We send out a thank you note on behalf of our client to guests speakers, VIPS and key providers.

Let us help you develop the meeting agenda, and any social activities with the graphics to support your brand through the save the date and web fact sheet and is continued throughout the program book, signage, and collateral. Research for audio visual, transportation, guest speakers, social activities, teambuilding events, hotel and off-premise menus are all part of our turnkey package. Budgets are prepared and submitted to the client for approval. An accounting of all registration and/or sponsorship fees is provided throughout the registration process. Ten days to two weeks prior to the meeting; event attendees receive a confirmation containing all the pertinent data, including but not limited to - hotel/confirmation number, an outline of hotel policies, activities, transportation, weather, attire, arrival and departure information and an updated agenda. Confirmation e-mails can be customized. Evaluation forms can be provided in online versions, paper, auto-responder and mobile devices.
